Save Time and Make More Sales by Using Alteryx with your CRM System

Customer relationship management (CRM) is a fundamental strategy that determines how well a company can effectively communicate with and understand its customers. Whether it is done with paper copies, in Excel or CRM systems such as Hubspot, it is crucial in being able to track sales and engagement with clients.

Being able to manage, analyse and communicate with your customer base will lead to higher customer retention and generate greater lead acquisition quickly and effectively. Today I will show examples of how we have been managing our CRM system in highly automated processes using Alteryx.

Although we use Hubspot, this can be translated into any CRM system with API integration.

Adding contacts to Hubspot

There is an infinite number of ways to acquire leads, a popular one maybe through some sort of sign-up form. A customer is saying to you that “I have an interest in your services” and as a company, you want to get back to them ASAP while the lead is still hot.

This is where the following workflow will take the information from the form (maybe even a scanned pdf or image), cleanse it, blend it with any other data you may have and upload it to Hubspot.

STEP 1: Here is a list of potential leads that need to be added to your CRM system.

STEP 2: Run the following workflow to cleanse the data and upload it to Hubspot.

STEP 3: The company has been assigned to the sales team and can now be managed from the CRM system.

From there it can be managed as a lead, assigned an owner with responsibilities on this customer and even be included in automatic workflow rules which can allow for automated emails or tasks to be created around this lead.

The scalability of this is incredible, as the only limit to the number of leads you could add in seconds is the size of your CRM system meaning you may have hundreds of potential leads per month that would need to be manually added and assigned to your sales team, but it requires just 1 run of a workflow.

Furthermore, using an API allows for unrivaled repeatability compared to uploading a database from excel where you may have constantly changing fields and schema.

Extracting contacts to Hubspot

Just as easily as you can add leads in, you can also take copies out allowing for data quality checks, cleansing and even predictive analytics to be performed on your valuable data, locked away in these complicated systems.

For example, you may want to restart an expensive marketing campaign and retarget a select audience to create the most value. Being able to perform some predictive analytics may be the key. The first step in that process is having clean and available data to hand.

The workflow below shows how simply an API can access the CRM system and pull all or some of the contacts, companies, or deals stored in Hubspot.

STEP 1: The workflow extracts the desired Hubspot data with this simple API call.

STEP 2: The same contact that we uploaded earlier has be extracted out of Hubspot allowing for migration to a different system, further analysis or cleansing to occur.
