UNSPSC Code Bliss:

Revolutionising Product Reporting

Mission Statement

Our client faces the challenge of classifying their invoices using UNSPSC codes, a United Nations system for categorizing items in international trade. This process is currently outsourced, resulting in a high number of errors and long waiting times. To address this, we have developed a solution consisting of two methods: an ad hoc email process and a batch process for handling large datasets.

Tools Used

Alteryx Server

·         API Connector

·         Continuum GPT 4 Connector

Power Automate

·         Automated server runs

Microsoft Forms

Impact

  1. Error Reduction: The solution significantly reduces reporting errors by automating UNSPSC code assignments.

  2. Efficiency Boost: Faster turnaround times and streamlined handling of large datasets improve the reporting process's efficiency.

  3. User-Friendly: The solution offers a simple, accessible Microsoft Form interface, enhancing user adoption.

  4. Cost Savings: Bringing the process in-house can lead to reduced outsourcing costs and improved long-term cost-effectiveness

Detailed Solution

Batch Method

For large-scale imports from various internal systems requiring UNSPSC codes within the dataset, we employ Alteryx. This allows for a repetitive data preparation process that ensures the data is in the best form for the GPT connector and eliminates unnecessary data. A custom prompt is created for each item and then transmitted to the GPT model. The UNSPSC code is extracted and joined with the original data stream. It can be seamlessly integrated back into the pre-existing system or exported to Excel for manual validation. This solution can be automated with Alteryx Server or manually executed for individual large datasets.

Ad Hoc Method

We have created a user-friendly Microsoft form accessible to all employees in need of this solution. After completing just three simple fields, a Power Automate form processes the data and sends it to an Alteryx server job. Through a carefully engineered prompt, we leverage the Continuum GPT 4 connector to perform the best possible lookup. The UNSPSC code is rapidly extracted and promptly sent to the user's email, typically within minutes. On the back end, these responses can be meticulously checked and validated. Furthermore, for a more deployable solution, the model can be fine-tuned and trained to achieve higher levels of confidence.
